Place - Providence, Rhode Island: Providence is easily accessible from the New England states, New York, New Jersey and eastern Canada. Providence has an airport, but visitors can also fly into Boston and take the train to Providence. The railroad station is within walking distance of the conference center and hotels.
Facility - Rhode Island Convention Center: This facility was used during the Joint NGS/NERGC conference in 2000. It is a modern and attractive space, favorable to exhibitors and attendees (www.riconvention.com). The conference hotels will be the Providence Biltmore (www.providencebiltmore.com) and the Providence Courtyard by Marriott (www.marriott.com). Restaurants and a large mall are within walking distance of the Convention Center. Public transportation and parking are both conveniently placed.
Dates: Although there are conference activities from Wednesday to Saturday evening; the Exhibit Hall opens on Thursday evening, and closes on Saturday at 4:00 pm.
Exhibit Hall Staff: NERGC volunteers will be on duty in the Exhibit Hall and on the loading dock all day on Thursday to assist you to solve any problems that may arise. The Exhibit Hall C Show Suite will be open beginning on Wednesday morning at 9:00am with volunteers ready to welcome you and answer any questions that you may have; the Suite will close Saturday night.

Friday, April 17, 8:00am to 5:00pm: Exhibit Hall open to conference attendees and the public
Saturday, April 18, 8:00am to 4:00pm: Exhibit Hall open to conference attendees and the public
Saturday, April 18, 4:00pm to 8:00pm: exhibitor teardown
Booth & Exhibit Hall Details: The Exhibit area will be secured and monitored by professional guards. NERGC has contracted with SER Exposition Services to provide decorator services. Each booth will include:
- 10' X 10' booth
- 8' high back drape, 3' high side rails
- 1 8' skirted table
- 2 chairs
- 1 waste basket
- 1 exhibitor ID sign (7” x 44”)
The show colors (draping and signage) will be white and royal blue. The booth space may be configured in accordance to the needs of the exhibitor. Utilities (ex, electricity, internet, telephone, etc.) are available at an additional cost.
The loading dock is at the rear of the Exhibit Hall. Vehicles will be able to park and unload directly. Only large exhibits that require staff assistance (ex. a forklift) to move items will have to hire Convention Center employees. We will send an exhibitor's packet to all exhibitors. The decorator (SER Exposition Services) can provide special booth items that are not included in the standard booth package such as custom and extra furniture, carpeting and material storage.
Fees: The rental cost of a 10x10 booth is $170 for the first booth, and $120 for each additional booth. One full-conference registration is provided for your initial booth and one additional full-conference registration will be given for each additional two booths. The full-conference registration will be made in the name of the organization, and any member of the Exhibitor team may use it
Booth Reservations: Use the Exhibitor Application Form and Exhibitor Agreement that is on this website. Full information on payment options is on the Exhibitor Application. We anticipate that online Exhibit Hall booth reservations will be activated when online conference registration is open. However, we welcome registrations now. Rhode Island Sales Tax: All exhibitors who sell merchandise or take orders at the conference will be required to pay the Rhode Island Sales Tax. Information is on the NERGC website
Lecture Breaks: Our conferences are planned to be exhibitor-friendly. The generous unopposed exhibitor time between lectures is one of the reasons many vendors experience more success at a NERGC conference than at national events. The lectures will be on the floor directly above the Exhibit Hall. There are escalators and elevators between floors.
Concession Area: Food and beverages will be available in the Exhibit Hall.
Vendor Door Prizes: Consider showcasing your booth by providing door prizes. NERGC provides tickets to conference attendees in the registration packets with a list of vendors and prizes. Attendees who are interested in your prize will place their door prize tickets in a container at your Exhibit Booth. Bring an interesting container!
Presentation Area: There will be a curtained area at the rear of the Exhibit Hall for additional specialized lectures sponsored by Exhibitors. These lectures will be approximately 25 to 60 minutes long, and can be an introductory topic on genealogy or very specific to the sponsoring organization. These lectures will be additional to the conference lectures, and free to anyone who comes to the Exhibit Hall. Proposals for Exhibit Hall presentations should be sent to the Exhibit Hall Chair (email@example.com).
Sponsorship: Various sponsorship opportunities are available to vendors (totebags for attendees, coffee/tea and refreshment stations in the Exhibit Hall).
